1. Who this covers
"Brio", "we" and "us" mean the company that makes the Brio app and runs briofield.com. This policy covers:
- Owners, who run a cleaning business in Brio and pay for it.
- Cleaners, who work for an owner and use Brio to see jobs, clock in and out, and talk to the team.
- Clients, whose homes are cleaned. An owner enters their details, and a client can also open Brio to see visits and send messages.
- Visitors to briofield.com and to the free websites owners make with Brio, including anyone who sends a quote request.
2. Owners are responsible for their business
Brio is a tool. Each owner decides what goes into their business in Brio: which clients, which cleaners, which jobs, notes and photos. For that information, the owner is responsible, and we store and handle it for them.
Owners must have the right to put that information into Brio. They must tell their cleaners and clients that they use Brio, and they must follow the privacy laws that apply to their business.
If you are a cleaner or a client and want your information changed or removed from a business, ask the owner first. If that does not work, write to us at support@briofield.com.
3. What we collect and why
Your account
Your name, email address and language. Your phone number and home address, if you add them. You sign in with a code we email you, so there is no password to store. We also keep a record of each sign-in: when it started, when it was last used, and the type of device. We use this to sign you in and keep your account safe.
The business (owners)
Business name, phone, address, the area you serve, your hours and your logo. Your plan and billing status. Card details go straight to Stripe. We never see or store your card number. We only see the card type and its last four digits, so we can show you which card is on file.
Clients
What the owner enters: name, phone, email, language, the addresses of the homes cleaned, and notes about each home, such as a gate code or a pet. Also the visits, quotes, invoices and payments recorded for that client. Brio does not process client payments. When an owner records a payment, Brio only writes down that it happened.
If an owner adds a client from their phone's contacts, Brio reads only the one contact they pick, never the whole address book.
Cleaners
Name, language, the days and hours they can work, how they are paid (hourly or per job) and the rate, the hours they worked, and payments the owner records. We keep these so the owner can schedule the team and pay them correctly.
Jobs and schedules
Dates, times, addresses, who is assigned, checklists and which steps were done, notes, and when a job was finished.
Clock in and clock out
The time of each clock in and clock out, and any changes the owner makes to those times. If location is allowed, the place where the phone was at that moment. See Location below.
Photos
Before and after photos of a job, photos sent in messages, and the photos and logo an owner puts on their website. We keep the size of each photo, when it was taken, and who took it.
Messages
Messages between an owner and a cleaner, team chats, and messages between an owner and a client. See Messages and team chats below.
Translation and voice
Brio translates notes, checklists and messages between English and Spanish. The text is sent to a translation service (named below) and the translation is sent back. We save translations so the same text is not sent twice. Short common phrases are saved without any link to the person or business that wrote them. Some translation happens on the phone itself and is not sent anywhere.
When you hold the button and speak, your phone's own speech service turns your voice into text: Apple's on an iPhone, Google's on Android. Brio receives the text only. We never receive or keep a recording of your voice.
Notifications
If you allow notifications, your phone gives us an address to send them to. We use it only to send you Brio notifications, such as a job starting soon or a reminder to clock out. You choose which kinds you get in the app.
Owner websites and quote requests
An owner can publish a free website at briofield.com. Everything on it is written and chosen by the owner, including any reviews. Brio does not copy reviews from Google. An owner may add a link to their own Google reviews page.
When a visitor sends a quote request, we keep what they type (name, phone, email and message) and pass it to that owner only, in the app and by email. We do not use it for anything else.
briofield.com
If you write to us through the contact form, we keep your name, email and message so we can answer. If you give us your email to hear about Brio, we keep the email and your language.
Technical records
Our server keeps short records of requests and errors so we can keep Brio working and stop abuse, for example to limit how many messages one internet address can send. Phone numbers and sign-in keys are hidden in these records.
The demo
Brio has a demo business filled with made-up people, homes and jobs, so anyone can try the app. Nothing in it is about a real person. Anything typed into the demo can be seen by other people trying it, and the demo is reset regularly, so please do not enter real information there.
4. Location
Brio asks for your location only while you are using the app, and only after you tap something that needs it. Brio never tracks where you are in the background.
- Clock in and clock out. If location is allowed, we save where the phone was at the moment you tapped, and how far that was from the home. The owner can see this, so they know the work happened at the right place. If you say no, or the phone cannot find a location, you can still clock in. It is saved without a location.
- Job photos. If location is allowed, a job photo is saved with the place it was taken.
- Drive times. Brio can use where you are to measure the drive to your first job.
- Addresses. Addresses typed into Brio are turned into points on a map so we can show drive times and check clock-in distance.
You can turn location off at any time in your phone's settings.
5. Messages and team chats
Only the members of a team chat can read it. An owner cannot read a chat between cleaners unless the owner is a member of that chat. Nobody outside the business can read any of its chats.
Someone added to a chat sees messages from the moment they joined, not before. Someone who leaves a chat, or is removed from the business, can no longer read it.
Messages between an owner and a cleaner are seen by those two. Messages between an owner and a client are seen by that owner and that client.
Brio does not send text messages. When an owner texts a client from Brio, it opens the owner's own messaging app and the text is sent from their own phone number.
7. What we never do
- We never sell your information or share it for advertising.
- We show no ads, in the app or on our websites.
- We use no analytics, tracking or crash-reporting tools, and no advertising cookies.
- We never use one business's clients or cleaners for another business.
Our websites save one small setting in your browser: the language you picked.
8. What stays on your phone
So Brio works without signal, it keeps a copy of the information you need on your phone. Changes and photos you make with no signal wait on the phone until they can be sent. Your sign-in key is kept in your phone's secure storage.
When you sign out, Brio removes the saved copy of your business's information. Changes not yet sent may stay on the phone until they are delivered. Deleting the app removes its saved files.
9. How long we keep it
- Accounts and business information: while the account is open.
- Job photos: one year from when they were taken, then deleted.
- Website photos and logo: until the owner removes them or the business is deleted.
- Sign-in codes: they stop working after 10 minutes.
- Quote requests: with the owner's business information.
- Contact form messages and email sign-ups: until you ask us to delete them.
When an owner cancels
The plan keeps working until the end of the period already paid for. Seven days after that, the owner's website goes offline and shows only the business name and phone number. Cleaners and clients lose access when the plan stops. All of the business's information is deleted 90 days after cancelling. An owner who comes back within those 90 days gets everything back as it was.
Stripe keeps its own billing records for as long as the law requires.
10. Deleting your account
You can delete your account in the app. Owners: open Profile and tap Delete account. Cleaners: open your profile, then Help, then Delete account. You can also write to support@briofield.com from the email on your account. Deleting is permanent and happens right away.
- An owner: the whole business is deleted. That means its clients, cleaners, jobs, photos, invoices, quotes, messages, chats and website. Your subscription stops too.
- A cleaner: your account, your sign-in, and the messages you wrote in team chats are deleted. The record of work you did for a business stays with that business, without your account attached: hours, pay, photos and checklist steps. The owner needs it for pay and taxes.
- A client: your account, your access, and the messages you wrote are deleted. The owner's own record of you as a client stays with their business. Ask the owner if you want that removed too.
11. Your choices and rights
- You can see and change most of your information in the app.
- You can say no to location, camera, photos, contacts, microphone and notifications. Brio still works, without the part that needs them.
- Depending on where you live, you may have the right to see, correct, delete or get a copy of your information. Write to us and we will help. We will not treat you differently for asking.
Brio is run in the United States, and your information is stored there.
12. Security
- Everything sent between your phone and Brio is encrypted.
- There are no passwords to steal. You sign in with a one-time code that expires in 10 minutes.
- Your sign-in key is kept in your phone's secure storage. Our server keeps only a scrambled version of it.
- Photos are stored privately and can only be opened through short-lived links.
- Each business's information is kept separate from every other business.
- Card numbers never reach our servers.
No system is perfect. If something goes wrong that affects your information, we will tell you as the law requires.
13. Children
Brio is not for anyone under 18. We do not knowingly collect information from children. If you think a child has given us information, write to us and we will delete it.
14. Changes to this policy
If we change this policy, we will post the new version here with a new effective date. If the change is important, we will also tell you in the app or by email before it takes effect.
